What is a SCA? A Single Case Agreement (SCA) is a one-time contract between an insurance company and an out-of-network provider so the patient can see that provider using their in-network benefits. Click here to learn more or contact your current insurance plan for more details.
If you don’t have insurance, don’t worry. We accept private pay. Prepayment is required prior to the time of service and can be made by credit card or debit card.
Other payment methods are not accepted at this time.

The cost of sessions at Hello Psychiatry varies depending on the type of service.
Fees may be reimbursable to you, or applied to your deductible, by your insurance company. Please contact your insurer to determine the out-of-network terms & conditions.

Medication Management Policy
Once stable, non-controlled prescriptions may include up to two refills (3-month supply total).
A $250 follow-up appointment (30 minutes) is required at least every 3 months, or more frequently if not yet stable
Medication Refill Policy
Stimulants
If a stimulant prescription is sent to a pharmacy where the medication is out of stock, we will resend it to an alternate pharmacy one time as a courtesy, if requested within 7 days of the last visit.
Additional transfer requests or requests after 7 days will incur a $25 administrative fee.
Bridge Requests
If a follow-up appointment is not scheduled or reschedule in a timely manner and the patient is at risk running out of medication, a one-time bridge prescription (up to 2 weeks) may be provided as a courtesy.
This is not standard practice. Additional bridge requests will incur a $25 fee.
Form Completion & Letters
Simple Forms: starting at $150 + $25 per page
Moderate Forms (FMLA, disability, etc.): starting at $200 + $25 per page
Complex Forms (legal/insurance): starting at $250 + $25 per page
Form Completion without Appointment: starting at $275 + $25 per page
Letter writing, form completion, care coordination, school consultations, court appearances, and any additional services may be billed directly to the patient.
Form completion can be considered after an established patient–provider relationship has been developed, which typically requires a minimum of six (6) visits or six (6) months of care. Some situations may vary and may be considered on a case-by-case basis.

Fees apply to out-of-network (OON) and out-of-pocket (OOP) patients and may also apply to in-network (INN) patients for no-shows, late cancellations, or late rescheduling (within 48 business hours/2 business days).
Fees are subject to change at any time without notice.
Please plan accordingly to ensure continuity of care, avoid interruption in care, and avoid additional fees.

A 10–15 minute psychiatry consultation is often just to see if we’re a good fit for each other. Expect a brief discussion about why you’re seeking help, your main symptoms/goals, and the provider’s treatment style and process.
It’s less about telling your whole story and more about questions like:
Do I feel comfortable talking to them?
Do they seem attentive and collaborative?
Does their approach match what I’m looking for?
Do they think they can help?
You can also ask about the provider’s approach to medication, therapy, follow-ups, and communication. The main goal is usually figuring out whether continuing together makes sense.

During the initial intake, you will have an opportunity to discuss what has led you to seek treatment. Although this includes a discussion of your symptoms and past treatment; time will be spent on learning about your past and present relationships, family and social life, personal identity, and other factors that have shaped you as a person.
Other important aspects to consider about the initial consultation include:
• The initial intake may take more than one visit.• Medication may not be prescribed at the first visit.
• An initial intake does not guarantee ongoing treatment. Depending on your specific needs, you may be referred to another provider.

Many administrative, and other tasks need to be completed by the practice in coordination with the patient.
The Patient Account enables you to 1) review, complete, sign, and upload forms, documents & results, 2) complete symptom and diagnosis-related questionnaires, 3) manage appointments & reminders 4) participate in telehealth sessions, and 5) communicate directly with your provider.
The patient account enables many administrative and other tasks so that session time can instead be spent maintaining and improving patient progress.

Appointments/ Cancellations/Reschedule Request:
Appointments are scheduled in advance to align with your goals, treatment needs, and our shared availability. Payments are processed through our billers via debit card, credit card, or ACH transfer.
Cancellation/Reschedule Request Policy & Fees:
Cancellation fees are not a form of punishment but rather a means to ensure that your provider can continue to offer care to all patients while fostering accountability and commitment to the treatment process.
1. Cancellation/Reschedule Timeframe:
Clients must notify us (by email at support@hellopsychiatry.com) of any cancellations or request to reschedule within 48 business hours/2 business days of the scheduled appointment/event. Hello NP in Psychiatry PLLC dba Hello Psychiatry and Hello Psychiatry LLC reserves the right to begin sessions up to 15 minutes late without canceling, as patient care cannot be rushed. If the delay exceeds 15 minutes, the patient may cancel the appointment without incurring any cancellation fees.
2. Cancellation/Late Reschedule Fees: Cancellations/Reschedule request made within 48 business hours/2 business days of the scheduled appointment/event will result in 100% of the total service/product cost of any subsequent late cancelations fee/late reschedule fee, or no-show fee. Refer to the Fee Schedule & the Appointment & Cancellations/Rescheduling Notice.
3. Refunds:
Refunds will not be provided for any services rendered. Refunds will not be provided for late cancellations, late-show, late reschedule request, or no-show fees. Refunds may only be considered under exceptional circumstances with supporting documentation and are subject to management approval.
4. Rescheduling:
Clients may request to reschedule appointments/events within the cancellation timeframe without incurring cancellation fees, subject to availability. Reschedule request within 48 hours of a scheduled appointment will incur a late reschedule fee.
5. No-show Policy:
Failure to attend a scheduled appointment/event without prior notice (48 business hours/2 business day) will be considered a no-show.
No-shows will be charged the full amount of the scheduled service/product (see Fee Schedule).
A 5 minute grace period for follow-ups and 10 minutes for initial intakes are given before an appointment is deemed a no-show. As a courtesy, a one time fee of $200 may be applied for the first occurrence.
6. Emergency Situations:
In the event of a genuine emergency, we understand that cancellations may be unavoidable. Please contact us as soon as possible so a request can be submitted to management for review. However, without supporting documentation, a late cancellation fee or no show fee may still be applied. Please note that approval of such requests is not guaranteed.
7. Changes to Appointments/Events: We reserve the right to make changes to scheduled appointments/events due to unforeseen circumstances. In such cases, we will make reasonable efforts to notify affected clients and provide alternative options.
8. Discharges:
If you have two no-shows or canceled appointments within 48 business hours/2 business days of the scheduled appointment/event you may be discharged from the practice and asked to seek services elsewhere.
All fees and outstanding balances will need to be paid in full prior to scheduling any future appointments.

To request a refill, please schedule a follow-up session 14 days prior to running out of medication.

Yes, however, ADHD is a disorder, not conditioned behavior. Medications are appropriate for verifiable disorders, whereas extinction therapies are more appropriate for conditioned behaviors.
• ADHD diagnosis requires, at a minimum, multi-session assessment, completion of multiple measurement and diagnostic tools, and contacting family, friends, and employers to discuss potential symptoms of illness. Any pre-existing ADHD diagnosis, and its historical prescribing regimen, will be re-assessed to ensure necessity, appropriateness, safety, and effectiveness.
• Existing neuropsychological testing results or long-term treatment records from a single provider could help expedite an ADHD intake. Please note that stimulant or other controlled substance prescribing will require an agreement to be signed.
• The fee for an ADHD intake is variable, so please contact us to discuss.*In-person visits are required for controlled substances.

Rarely, and only when benzodiazepines can be safely prescribed for evidence-based, short-term uses. In rare cases, these medications are prescribed long-term at reasonable, safe doses at or below 2mg daily, if appropriate. Patients who are accustomed to high dosing above 2mg daily would be required to taper to lower doses and to trial alternatives such as blood pressure medications, and other non-controlled, often equally or more effective medications. Please note that benzodiazepine or other controlled substance prescribing will require an agreement to be signed.

Booking an initial appointment does not guarantee that your current CS medication treatment will be continued. Nor does it guarantee that you will be accepted as a patient into the clinic. Booking an initial appointment means that you are a prospective patient. It does not guarantee that you or your loved one will be accepted as a patient into the clinic.
